Office Manager

Location: Germany | Full Time | Monday to Friday

This is a varied position that sits at the heart of our Portuguese operation. You will oversee the day-to-day running of the office, support our sales team, coordinate operational activities, manage financial administration, and ensure our customers continue to receive the exceptional service that VetPlus is known for.

What You'll Be Doing

As Office Manager, you will play a pivotal role in ensuring the smooth operation of our Portuguese office by:

• Managing daily office operations and administrative processes

• Supporting the Country Manager and National Sales Team with reporting and coordination

• Acting as the main point of contact for internal departments, customers, and external suppliers

• Overseeing order processing, stock control, and warehouse-related activities

• Managing supplier relationships and office facilities

• Coordinating payroll submissions, expenses, and finance administration

• Assisting with month-end reporting and financial reconciliations

• Monitoring customer enquiries and ensuring issues are resolved efficiently

• Maintaining accurate records and ensuring company procedures are followed

• Supporting marketing campaigns, events, and sales initiatives

• Leading and developing office-based team members as the business grows

What We're Looking For

We're seeking someone who enjoys taking ownership, thrives in a busy environment, and takes pride in delivering excellent service.

You'll ideally have:

• Previous experience in an Office Manager, Operations Manager, or Business Support role

• Strong organisational skills with exceptional attention to detail

• Experience supporting finance, payroll, or accounting processes

• Excellent communication and interpersonal skills

• Strong IT skills, particularly Microsoft Excel

• Experience using financial or ERP systems

• The ability to prioritise multiple tasks and meet deadlines

• Fluency in both Portuguese and English , written and spoken
